Secure Document Intake

A simple way for clients and prospects to send files to the right YTS advisor — without email attachments, accounts, or passwords.

How it works

  1. Each advisor has one reusable upload link.
  2. The client opens that link, enters a name and email, and attaches files.
  3. When the files are in SharePoint, the advisor receives an email and opens the client folder from there.

For advisors

1. Get your personal link

Your link looks like this:

https://files.ytswealth.com/upload/your-name

The last part of the address is your short link name, for example sanjay-akut. Ask a YTS administrator if you do not have a link yet. Do not invent one — only enrolled links work.

2. Put it in your email signature and requests

Use the same link every time. Suggested wording:

Copy and paste

Please send documents using my secure YTS upload link:
https://files.ytswealth.com/upload/your-name

You do not need an account. Enter your name and email, attach the files, and keep the confirmation reference you receive.

3. Watch for the SharePoint email

When a submission is ready, you receive a branded email:

  • Subject: New client files are ready in SharePoint
  • It includes a public reference such as YTS-XXXXXX
  • The button Open in SharePoint goes to that client’s folder

Click Open in SharePoint and review the files there. You can also browse:

4. Where the files land

Files are stored in YTS SharePoint, not in the upload page.

Advisor Client Files
  └── Advisor Name - your-name
└── Client Name - (unique folder)
              └── uploaded files

Example: files sent to Jane Smith appear under Advisor Client Files / Jane Smith - jane-smith / in a folder named after the person who uploaded.

The client cannot see, list, or download anything already stored. The link is send-only.

For clients and prospects

  1. Open the advisor’s upload link from the email or signature.
  2. Confirm the page shows the correct advisor name (for example, “Send documents to Jane Smith”).
  3. Enter your name and email.
  4. Choose 1 to 10 documents and select Submit documents.
  5. Wait for “Thank you. Your documents were received.”
  6. Save the confirmation reference (it starts with YTS-). You may need it if you contact the firm later.
If the page says the upload link is unavailable, do not guess another address. Ask your YTS advisor for their current link.

What files are accepted

RuleLimit
Number of files1 to 10 per submission
Size25 MB per file
TypesPDF, JPEG, PNG, CSV, Excel (.xlsx), Word (.docx)
Empty filesNot accepted

If someone needs to send more than 10 files, they can submit a second time with the same link. Each submission creates its own confirmation reference and SharePoint folder drop.

What this tool is not

  • Not a client portal or vault. Clients cannot log in later to view or retrieve documents.
  • Not a replacement for email conversations. It only replaces the attachment.
  • Not an open drop box. A link only routes files to that advisor’s folder. Possession of the link does not grant access to anyone else’s files.
  • Not for sharing files back to the client. Return documents through your normal YTS process.

If something goes wrong

What you seeWhat to do
Upload page says the link is unavailableThe advisor is not enrolled or the link name is wrong. Confirm the exact URL with an administrator.
Client cannot attach a fileCheck type and size. Convert scans to PDF when possible. Split large packets into a second submission.
Client submitted but you have no email yetWait a few minutes, then check spam. Also look in Advisor Client Files under your advisor folder. If nothing appears, send support the confirmation reference (YTS-…).
Files landed under the wrong advisorThe client used another advisor’s link. Ask them to resend with your link, and move or copy the files in SharePoint if needed.

When contacting support, share only the YTS-XXXXXX confirmation reference. Do not forward the original documents unless asked.
